Microsoft 365 Licence Review

Microsoft 365 is often the biggest line on an IT bill, and the easiest to overpay. Licences stay assigned to people who have left. Everyone gets the top plan because it was simpler at setup. Add-ons get bought for a project and never removed. We find the waste, fix it, and are only paid from what you save.

We work with businesses across the Wellington region, including Wellington City, the Hutt Valley, Porirua, Kāpiti and Wairarapa, and anywhere in New Zealand, as licence reviews are done remotely.

What we don’t do

We won’t remove security features to save money. If someone needs Business Premium for device management or conditional access, they keep it. We show you the trade-off before anything changes.

Google Workspace too

The same review works for Google Workspace: plans matched to each person, former staff archived properly, and storage add-ons checked against what is actually used.

What we usually find

  • Former staff: Licences still assigned to people who have left, or to shared mailboxes that don’t need one
  • Plans above the role: Business Premium or E3 on people who only need email and Office
  • Unused add-ons: Teams Phone, extra storage, Visio, Project or Copilot seats nobody opens
  • The wrong commitment: Monthly terms where an annual commitment is cheaper, or annual seats locked in for a team that changes size often
  • Several resellers: Licences bought in different places, so nobody sees the full picture or the renewal dates
  • Paying twice: Separate backup, email filtering or antivirus products for features your plan already includes

How it works

1. Read-only access
A temporary read-only admin role on your tenant, plus your last three Microsoft invoices.

2. Usage report
Who has which licence, who signs in, and which apps and add-ons are actually used.

3. Your list
Each change, what it saves a year, and anything to watch for, usually within two weeks.

4. The changes
Only what you approve, timed around renewal dates so you aren’t paying for seats you can’t drop yet.

How we’re paid

Common questions

Will removing a licence delete someone’s mailbox?
Not if it’s done properly. We convert a former employee’s mailbox to a shared mailbox, which doesn’t need a licence up to 50 GB, and keep their OneDrive files before anything is removed.

Can you lower our licence count before renewal?
On an annual commitment, seats usually can’t be reduced until the term ends. We plan the changes for the renewal date and stop any further seats being added in the meantime.

We buy through another reseller. Does that matter?
No. We review your licences wherever they were bought. If moving them would be cheaper we’ll tell you, but you don’t have to move.

Do we need to change IT provider?
No. We can hand the list to your current provider, or make the changes ourselves.
