AI Integration and Automation

Your staff are probably already using AI, often free tools with client information pasted in. We help you adopt it properly: the right tools, set up securely, and pointed at the jobs where it actually saves time.

We work with businesses across the Wellington region, including Wellington City, the Hutt Valley, Porirua, Kāpiti and Wairarapa.

Tools we work with

Microsoft 365 Copilot and Gemini for Google Workspace; ChatGPT and OpenAI’s GPT models; Anthropic’s Claude; open models such as GLM that can run on your own hardware; and automation platforms such as Power Automate and n8n. We’re not tied to a vendor, so we recommend what fits your data, your budget and the systems you already use.

Using AI safely

The Privacy Act 2020 applies to AI like any other tool, and the Privacy Commissioner expects businesses to know what information goes into AI services and where it ends up. We choose business plans that don’t train on your data, check where it’s stored, and document the controls so you can show clients and insurers.

What we do

  • AI assistant rollout: Copilot, Gemini, ChatGPT or Claude licensed, configured and introduced to a pilot group before the wider team
  • Permissions clean-up: SharePoint, OneDrive and Google Drive sharing reviewed first, so AI can’t surface files people shouldn’t see
  • AI use policy: A plain-English policy on which tools staff can use and what information can go into them, with unapproved tools blocked or replaced
  • Workflow automation: Emails, forms and documents read, summarised and turned into draft records in the systems you already use
  • Document extraction: Invoices, forms and PDFs turned into structured data, with a person checking the results
  • Knowledge assistants: Ask questions of your own policies, templates and past work, with the same access controls as the files
  • Private AI: Open models such as GLM running on your own hardware or a private server, for information that can’t leave your control
  • Ongoing support: Training, monitoring, cost control and regular reviews of which tools are earning their keep

First step: an AI readiness check

We review your licences, how your files are shared, and which AI tools your staff already use, then give you a short written list of the three to five places AI would help most and the risks to fix first. It’s a practical starting point, and it shows you how we work.

Common questions

Will our data be used to train the AI?
Not with the right plans. The business versions of Copilot, Gemini, ChatGPT and Claude don’t use your data to train their models by default. We check the settings and keep business information off consumer accounts.

Which AI is best?
It depends on the work and where your data lives. Copilot suits businesses on Microsoft 365 and Gemini suits Google Workspace, while ChatGPT or Claude can be stronger for writing and analysis. Many businesses use more than one.

Do we need AI licences for everyone?
Usually not. We start with the people who will benefit most, measure the result, and expand only where it pays off.

Will AI replace our staff?
That isn’t the goal. AI takes repetitive reading, typing and searching off people’s plates, and a person stays responsible for decisions and for anything that goes to a client.
